Use it or lose it

I have a confession. I’m not a great cook. The Julia Childs genes pretty much skipped right over me. But even though I’m not great in the kitchen, I do love to watch cooking shows. Go figure! To me there is nothing more entertaining than watching Ina Garten, the Barefoot Contessa cook a chicken.

But I think I finally figured it out. Can you imagine, buying all the ingredients, mixing everything together and then not putting the cake in the oven????

As I was watching Ina whip up a quick brunch for a party of 6 it all of a suddenly hit me. Cooking shows aren’t just about systems, they are about IMPLEMTENTING systems. Ina had a plan and a system that she followed. Everything from when she had to buy ingredients, when she could start the preparation process to when she set the table and started the oven. Laid out, specific plans for completing something.

Then she launched in to a series of established steps (aka a system) for making each item. Hello cooking shows are all about systems and how to implement those systems – no wonder I love them.

Implementation is a huge place people tend to get stuck. This week’s article gives you some ways to make taking action a bit easier…so you can have your cake and eat it to.

Systemizing Your Business: Implementation as a Second Language – Part 1: Use It or Lose It!

We all have a mother tongue – a primary language and first way of speaking. Likewise, we all have set ways of doing what we do. Some of those “ways”, when repeated over and over, became our habits. When we first begin to learn a new language (or a new skill) it may feel awkward and unnatural; it may not come easily at first. When we give it time, with practice and determination, that “new” whatever-it-is will feel as comfortable as the old way. Persistence can turn your new plan into your new habit. And here’s some more good news: The more you use it, the less chance you’ll lose it!

Given that there are some things you do in your business that are not working (and you are so not alone here), creating new ways of doing them can potentially make a huge difference in your stress level, productivity and bank account! What you do with your fabulous new ideas and plans is what we are addressing here. Yes, having great behind-the-scenes systems in place is a powerful work tool, but there’s more to it than that. In fact, although I hate to say it, designing new systems and processes may not work for you at all!

They (I’m not really sure who they are.) say that the road to hell is paved with good intentions. My guess is that along with those good intentions there are also great ideas, strong motivation and blazing needs and desires. However – and this is the key – without follow-through, without actually putting the thoughts, ideas and plans into effect, it’s all a big, fat pile of nothing! Ideas and intentions that are untried, untested and un-actualized remain in the realm of fantasyland.

Once you have taken the time to identify what isn’t working in your company and brainstormed about how to fix or change those problems, doing something about them sounds like a great idea. If you have identified the problem, followed the steps for developing a new system and designed an effective, efficient new system to address those issues, you’re on the road to recovery. Now the question is: What will you use to pave that road? We already know that good intention is NOT the material to use here. Consider that this road is best laid with big, strong blocks of implementation!

No implementation = No change of action or result!

Implementation takes commitment. Having a great plan and not implementing it is tantamount to my biggest nightmare… finding thousands of dollars worth of coupons for cool, free stuff and then finding out that all of coupons had expired the day before… That’s why they (there’s that they thing, again) say: Use it or lose it!

I needed this months ago…

I’m in the middle of the 3 Essential Systems webinar series and I had to laugh when one of the participant’s comments was, “I needed this MONTHS ago lol”.

He was talking about the new client intake system, which honestly is one of my favorite systems to talk about because, well, lets face it, it’s exciting to get new clients. But not just that, when you have a great intake system set up you can lead your clients down a specific path which makes them feel confident and excited about the work you are about to provide.

When your clients are confident and everyone is on the same page, you end up with a bunch of free time so you can do the things you like. For me that means spending time with my family. My twin nieces are just the cutest!

Systemizing Your Business: Here We Go Loop De Loop!

You have a very scary potential problem area in your business. It’s called the “loop”. Every business has one. When it’s in the “open” position, you and your business are in real trouble. This is what everything falls through when your systems and processes are not fully effective or in place. It’s much like a black hole. You can’t really see it, but you know it’s there.

Beware the damaging effects of an open loop in your company. This is the source of almost all problems. Unlike a black hole in space, where nothing can escape, this is the business black hole – where everything just disappears! This is where your profits go. Through this loop fall your business opportunities, bits of information, prospective clients, important papers and maybe even a sock or two! Your free time vanishes into this abyss along with vacation plans and the 401k.

Here’s how you know when you have an open loop. Do you find yourself fishing for things in La La Land; looking for things that are not where they should be or for people who were supposed to get back to you? Are you searching for information that you know you had – or should have had? Are you missing opportunities because you are simply not prepared? Do you find yourself re-doing things over and over and over… or re-doing what someone else did incorrectly? Step one is to identify that there is, indeed, a problem. Apparently we’re passed step one. To learn how you can “close the loop”, let’s go over the six simple steps:

1. Identify that there is a problem 

2. Identify the problem – Be specific. What must be done differently in order to have a smooth running operation? What is the breakdown?

3. Brainstorm ways to fix or change the process – Get creative and unique… and invite others to join you in this.

4. Create a perfect world scenario – This is NOT a look at the way it is, this is how the new process would look “in a perfect world”. This is the dream plan.

5. Test it out – Make sure that this process will actually work in real life. If something needs to be tweaked, remember: this is YOUR system and you can design it any way you want! Adjust away and then…

6. Implement – Remember, all new habits take time to feel comfortable.

An open loop is an invitation to business disaster. Answer the call to play loop de loop and close that loop.

Have you heard about the big name change

Have you heard? I’m getting ready to change my name. I’m having my house painted and they just finished the primer. My entire house is completely white. It’s pretty cool. So since I now live in a white house, that makes me Snow White, right? Well Snow White or as Jami, my senior consultant pointed out, it may also make me the President. I think I prefer the Disney character.

All joking aside, the white primer is the foundation. That ever important layer makes the rest of the paint job look fantastic. You may have seen that I’m personally teaching a new webinar series called the 3 Essential Systems. These are the 3 core systems that every business needs. It’s like business primer. When it’s in place everything else is smooth and easy.

Systemizing Your Business: 10 Top Tips for Staying in Touch

It’s summertime and the business world goes adrift into the world of who’s on vacation and who’s not. So much gets put on hold because we want to “save” the good stuff for a time when we can reach more people. What’s your system for staying in touch over those lazy, hazy, crazy days of summer?

Have you calendared in summer connecting time? Remember when you were in the 4th grade and summer finally arrived? That last day of school was cupcakes and laughter and giving back your schoolbooks was worthy of that celebration. Chances are, however, that your school system – if it was truly interested in you – had a plan to keep you enrolled even when school was “out”. Remember Summer Weekly Readers, special programs at the library and summer reading book lists and contests? The objective was to keep from starting you back at square one when the new term began. Not always successful, but a good idea.

So, my business-minded friends, what are you doing to keep your name out there when most attention is on fun and sun? Enter Sandye, your Systems Goddess with a list of 10 Top Tips for Staying in Touch with your clients and potential clients!

1. Offer a Summer Special – and make it “Sizzlin’ Hot”

2. Send out postcards that say “Wish You Were Here”
