<p>I was searching through my personal email the other day when up popped an email from a local spa. Thinking it was a good time for a massage (OK, is there ever a bad time for a massage?) I took a look to see what they were offering. They laid out what seemed to be a great membership program. Discounts, special offers, bring your friends. Since my friends and I often do "girls days" at the spa, I was interested and without even seeing a price was seriously considering buying.</p>
<p>Yeah for them, they succeeded in getting my attention. But then the problems began.</p>
<p><a href="http://www.processprodigy.com/are-you-hard-to-work-with-2/frustrated_woman__computer/" rel="attachment wp-att-1062"><img class="size-medium wp-image-1062 alignright" style="margin: 10px;" title="frustrated_woman__computer" src="http://www.processprodigy.com/wp-content/uploads/2012/01/frustrated_woman__computer-300x199.jpg" alt="" width="300" height="199" /></a>The message said, "cli*ck here" for more information and the application, but there was no link.</p>
<p>A little frustrated, but not ready to give up, I looked for an email address - nope, not there.</p>
<p>Well how about a website link? Nope, zilch, nada. Just the web address imbedded in a graphic file that I couldn't do anything with.</p>
<p>So I let out a big sigh, opened my internet browser and actually hand typed the web address of the spa. Would you ever go this far? Of course you wouldn't, certainly most people would have given up a loooong time ago. I was just feeling persistent.</p>
<p>Now determined to find out something I started clicking around their site. I checked out their services, well what I could see of them anyway, since the page was supposed to scroll and didn't so all I could see was about 5% of what they offered. And when I finally found a place called special offers, the music went off in my head as finally my search for the golden membership package would be found, right? Survey says, WRONG. Strike three. I was done.</p>
<p>After closing out their site, I even thought about replying to the email, but noticed it was some weird address that obviously was created by their email blaster and I figured no one would ever see it. So I deleted the email. Game over.</p>
<p>The question then becomes, how do we learn from the mistakes of others? When you send out a mailer, an email, a letter, a proposal, an offer or anything, are you easy to work with?</p>
<p>You work so hard at getting their interest; do you complete the process and make sure there is an actual way to buy from you? To contact you? To find out more?</p>
<p>One of the "Made it to a Million" mentors my Outrageously Effective Systems members learn from talked about the importance of making it easy to do business with you. So consider how you might make it easier for people to work with you.</p>
<p>* Can you offer a payment plan?</p>
<p>* Can you offer free shipping?</p>
<p>* Can you offer an easy way to contact you?</p>
<p>Like say always sending your phone number in an email signature, always including a web address in your emails.</p>
<p>* Can you automate so the client does less work? Like setting up forms or filling out information for them.</p>
<p>Make a quick list of five things you can do to make working with you easier. Then tape that list to your wall so you keep those items in the front of your mind every time you interact with your clients or leads. Keeping those few things in mind will make sure you avoid making the same mistake as that spa. Why spend all that time and energy enticing people in, just to push them away?</p>

<p>Last week we opened up the phone lines to give you a chance to talk one-on-one with us and it was fantastic.  It’s so good to have a voice to the name and Sandye, Jami and I loved hearing about what you are up to. </p>
<p>How are those New Year goals and resolutions coming along?  Sandye, our systems coach, recently asked our Power Up Your Profits members a couple of questions to consider. I thought you might want to ask yourself the same.  Where are you NOW? Where do you want to get to? Do you have a plan? Is it written down? Are you following your plan?  Are you doing what you said you would?  Simple, yet not necessarily easy questions to answer.  But the answers are the key to helping you achieve those goals. </p>
<p>I have a big announcement….I’m getting married.  Oh wait, I already did that.  Well there is another exciting event coming up in my life.  We started getting requests from busy small business owners like yourself, that you were really interested in attending a workshop where you could discover what you needed to systemize and then get those systems created…fast. <h2>4 Steps To Creating a Superstar Team in 2012</h2>

<p>I used to have a recurring nightmare. I would find myself sitting in a high school classroom. I'd be chatting it up with friends I hadn't seen in a while when suddenly the teacher would announce it was time to take the final exam. Suddenly I would remember that I hadn't been in class all semester. My hands would start to sweat as I had no idea how to answer any of the questions and surely I was going to fail. I'd wake up in a panicky, nervous sweat because I didn't know what to do.</p>
<p>Whether your team is made up of employees or independent contractors if you find yourself barking orders, giving partial instructions or simply ignoring them for long periods of time you are probably making them feel like I did from that nightmare.</p>
<p>But even if your team members aren't breaking out in hives or taking mediation for stress control, there are some key things you can do to make sure everyone on your team performs like the superstar you know they are.</p>
<p><strong>1. Focus on What Went Right</strong><br />
For some reason it always seems easier to point out (and harp on) the things that went wrong. I'm not saying you should ignore mistakes, but you also need to remember the flip side. Point out the good stuff that happens. When someone does a good job, say thank you and tell them you are appreciative of a job well done. Let them know you've taken notice of the things they've done, especially when they go above and beyond. You like it when someone compliments your work right? So why wouldn't your team be the same. Praise and acknowledge good work on a regular basis.</p>
<p><strong>2. Have a "No Surprise" Policy</strong><br />
Keep everyone on the same page by having regular team meetings. Share the current goals, the projects in the works and the high priorities with everyone at the same time. Then let everyone chime in with their ideas and what support they need from other team members to achieve the goals. Communication, buy in and participation all in one fell swoop.</p>
<p><strong>3. Give Clear Directions</strong><br />
Be specific about what you need accomplished. Here's a simple example, if you say to someone, "please pick me up some lunch," who knows what you will get; soup, pizza, a hamburger, a salad. The choices are endless. Instead, be specific about what you want. Say something like, "please go the deli down the street and pick me up a corn beef on rye with extra mustard." See the difference. You are more likely to get what you want if you ask for it.</p>
<p><strong>4. Give Everyone a Little Personal Time</strong><br />
Have a one-on-one check in with each team member. Book 15 to 60 minutes each week to check their progress, give new assignments and answer any questions. It gives you the opportunity to work through all the tasks and projects at one time, which will save you time while showing them that you are approachable. This step is so important that this month's Outrageously Effective System focuses on a strategic system to do just that.</p>
<p>Acknowledgement, communication, clarity and approachability are the keys to building your own superstar team.</p>

<h2>Some Super (and Some Silly) Holiday Systems </h2>
<p>By The Whole Process Prodigy Team</strong></p>
<p>With the holidays just around the corner, we thought you might want some fun, insider secrets to systemizing your holidays from the Process Prodigy team. Here is an insiders look into our overly organized brains and some of the things we do to keep everything together and enjoy the holidays.  </p>
<p>1.   Be like Santa... make a list and check it twice. Keep track of whom you are getting a gift for, what ideas you have and then what you got. A pocket or purse sized list is a MUST. Or... </p>
<p>2.   Use that smartphone: download the Free "Epicurious Recipes &#038; Shopping List" application which, in addition to giving you access to recipes from the food site Epicurious.com, makes it easy to create shopping lists right on your iPhone.</p>
<p>"GiftBox Holiday Shopping List" allows you to keep track of who you're buying gifts for, what you've bought them, and how much you've spent on them - all from your phone. You can even take a picture of a gift idea and attach it to that friend's contact info.</p>
<p>3.   Use the extended holiday hours as a personal retreat. Leave the house after everyone is in bed; grab your favorite java (decaf, of course) and head to the mall to get your list done in one night without the crowds. </p>
<p>4.   Designate a shopping day (or days if the list is long). Take that list of yours and hit the mall. Take a friend and make a day of it. It will be fun and you'll have all your shopping out of the way. </p>
<p>5.   Shop at the "un-holiday" places for truly unique gifts and NO CROWDS. Flower shops, drug stores, photo developers, pet groomers, tire stores, mom and pop stores of EVERY vein... they could all use the holiday dollars and usually have a few gift ideas that could nicely supplement your stash.</p>
<p>6.   When you give a gift add a note and a "promise" to it. For example: baseball bat with a note that says you will take them to the baseball field once a month next year (and DO IT). Actually calendar the time and cc the receiver on that, too.</p>
<p>7.   Invite yourself to a wrapping party. Even if it's just you, open a bottle of wine and put on your favorite holiday movie. It will be fun and before you know it all your gifts are wrapped. </p>
<p>8.   Have a gift-wrapping system. Purchase clear gift bags and colored tissue/shreds with matching ribbon. They can be used for all holidays and "quick wrap" gifts. Under the bed looooong, plastic tubs are excellent for storing wrapping supplies. </p>
<p>9.   Schedule a pick-up with USPS. No more waiting in line at the post office to get your packages mailed. Go to the USPS site and have the post office come to you! </p>
<p>10. Order free boxes from USPS. Get a Variety 4-pack of boxes (1 small, 2 medium, and 1 large) at www.usps.com/wishlist. Empty, cover and reuse boxes you find around the house, too. </p>
<p>11. Too busy to volunteer your time to help the needy? Keep a small box in your car with granola bars, juice boxes and other snacks and give them out when you see someone on the side of the road with a "please help" sign. </p>
<p>12. Want to spend more time with your family? Create an advent calendar (or holiday countdown calendar) with small slips of paper with family activities on them - making ornaments, going for a walk to look at the holiday lights, creating cards, making wrapping paper, baking cookies, etc. </p>
<p>Even SANTA has a system. Regardless of whether or not you're a believer... check out his flight patterns and follow him online with NORAD. </p>

<p><strong><H2>Whose Holiday Is It Anyway? </h2>

<p>It's that time of year again.... The stores are crowded, the streets are crowded and our schedules are crowded. We have all the usual "stuff" to attend to plus the added holiday minutiae of greetings, gifts, family dinners, office parties and other social obligations. And then there are those pesky holiday social "questions"</p>
<p>How do you celebrate when it's not YOUR holiday? Do you say Merry Christmas if you don't observe Christmas? Do you allow your children to be in the Christmas pageant, sing a Hanukkah song or light a Kwanzaa candle if that's not your religious bent? Do you go to the community tree lighting, go caroling, attend holiday parties and give gifts when the holiday you are honoring would not be YOUR holiday? Do you give Christmas presents to people who don't celebrate Christmas or give Hanukah presents on Christmas? Do you throw a Christmas party and invite your non-Christian friends? Do you invite non-Jewish friends to spin a dreidle or eat potato pancakes with you? Do you boycott or protest that YOUR holiday is not being honored when someone celebrates his/her own? What's a person to do? </p>

<p>Does it really have to be YOURS, or can you simply get into the spirit of the occasion? </p>
<p><em>Celebration noun: the action of marking one's pleasure at an important event or occasion by engaging in enjoyable, typically social, activity </em> </p>
<p>I remember hearing (from a rabbi, via a friend) that celebrating someone else's holiday was the same as being invited to someone else's birthday party. It's not YOUR birthday, so it's not YOUR holiday, but that doesn't stop you from going to the party, singing Happy Birthday, giving a gift or playing pin the tail on the donkey, does it? It doesn't stop you from mingling with friends or joining in the birthday festivities and, perhaps more importantly, it doesn't negate YOUR birth, does it? And when it's time for our birthdays, what do we do? We simply - celebrate - and happily invite people to come to OUR birthday parties because we want them to share the good times with us.</p>
<p>So, stop thinking about celebration as dilemma. Just get out there and share the good times... celebrate... no matter who's holiday it is!</p>

<h2>What I Learned About Systems From Michael Bublé </h2>

<p>I'm a big fan of Michael Bublé, so when a 2-hour drive to Palm Springs popped up on my calendar I was excited to pop in the new album and sing along . . .alone, in the privacy of my sound proof car of course. </p>
<p>Like every good downloadable product, there were a couple of bonuses that came with the album. A video and instrumental version of one of the songs were part of the package. </p>
<p>About 2.5 hours into my 2-hour trip (gotta love L.A. traffic) the instrumental version of the song popped up and I began to sing along. Then I realized something. </p>
<p>I had now listened to that same song at least a dozen times. If you had asked me if I knew all the words I would emphatically said YES. But suddenly there I was in the middle of the second verse - totally stumped. </p>
<p>So what does this tell us about systems? I hear all the time:</p>
<p>==>   "It's mainly just me so I don't have to write anything done." </p>
<p>==>   "Gee it's really not time for me to put things on paper, we just all know it all." </p>
<p>==> "We'll get everything straightened out and then we'll document our systems."</p>
<p>==> "We all know what to do, so we'll worry about the system later."</p>
<p>Just like I thought I knew all the words, many business owners make the assumption that they and their team members know all the steps. It's easy to fall into the trap of thinking you know it all, but actually you end up forgetting steps, singing the same verse twice and wondering why things seem to be falling through the cracks.</p>
<p>Take action right now. Take 1 task you do over and over again, like paying bills, talking to new clients, asking for referrals, launching a product, sending a newsletter, etc and write out all the steps you go through. You'll be surprised at what you accidentally leave off or can't remember. </p>

<h2>Giving Thanks For An Effective Team Meeting List</h2>

<p>If you have 2 or more people who regularly work with your company, you should be having team meetings. You will be surprised at the suggestions, points of view and great ideas that will arise out of spending regular time together. The time together will build bonds between team members, clarify priorities and get the team working -even when you aren't!</p>
<p>One of, if not the biggest expense in business is paying for a team. Having regular, efficient team meetings is a key way to make sure you are getting the most out of your team members.</p>
<p>Many small business CEOs, like you, know that team meetings are essential for a growing company, but are unsure of how to make them effective and time efficient. Here's a team meeting checklist to get you on the fast track.</p>
<p>Before the meeting:</p>
<p>1. Set a recurring date and time to meet with the core members of your team.<br />
2. Choose a meeting host who is responsible for sending meeting invitations and taking notes during the meeting.<br />
3. Create an agenda. Cover things like marketing strategy, current client situations, problems that need solutions, brainstorm ideas, etc. Share the agenda with the meeting attendees.</p>
<p>Have the meeting:<br />
4. Start the meeting by choosing a time keeper who is responsible for watching the clock. This way your meetings won't last for 12 hours.<br />
5. Go through the agenda items; share information, solve problems and create tasks/projects/action items as necessary.<br />
6. For each task/project/assignment choose an "owner" (someone who will take the item to completion) and set a deadline. The meeting host (note taker) should create a list of the projects, owners and deadlines so there is a record of what you decided would get done.<br />
7. As the leader, spend a few minutes acknowledging the members of your team for their efforts. It's easy to forget to say thank you. Appreciation and "thanks you" go a long way.</p>
<p>After the meeting:<br />
8. The meeting host sends out the meeting notes and assignment list to each meeting attendee.</p>
<p>I recommend meeting at least once a month for approximately 30-60 minutes. If you have frequent client projects, launches or complicated systems that involved multiple people, then consider meeting twice a month or once a week. Start out with once a month and then see if you need additional meetings.</p>
<p>Your employees will be thankful for the effective meeting!</p>

<h2>Fabulous Follow Up Is Gold</h2>

<p>Does any of this sound familiar? "Hey, I really want to be in on the next go 'round, let me know when it's available, will you?" "I don't have time right now, but I'm interested. Will you call me in two weeks?" "My friend is on vacation, but she'd love what you have. Call her next week." "Get back to me on that, will you?" They want what you have, but not yet. They're interested, but not now. They think they want to buy, but they want to think about it.</p>
<p>This is it folks; the number one system for making sure that there's no money being left on the table - your Follow Up System. If you remember to make that call, return that call or make that contact, you stand to bring in the bucks. The operative word here is IF, and, IF you're like most of us, you won't be wanting to depend on your memory and the little notes scattered all over your car and desk!</p>
<p>At a networking event a while back I met a woman who had a service that really interested me, really. We had a great chat, she took my card and actually called me. Problem was, she called as I was rushing out the door. I told her that I was ready to sign on the dotted line but that we'd have to pick up this meeting a few weeks later - when I was back in town. I've been back for a long time, did she call you by mistake? I still have my pen poised to sign, and there's nothing to sign. She lost a sure thing sale by not following up on a really hot lead!</p>
<p>All the great marketing and advertising in the world does nothing if you're gathering names and then losing those prospective clients. And it's not just about a database system here, either. Yes, you do want to have set places to make customer notes, write down referral information and calendar future calls and contacts, but if there is no follow through system in place - a process to ensure that you actually follow the necessary steps to be completed with each person - your money falls through the cracks, leaks through the pipe and falls off the table (so to speak)!</p>
<p>You have a pretty clear choice here. Either you can create a system - a step-by-step process to make sure that there is excellent follow through with every contact - or you can sit down and make up a list of reasons why you simply can't handle all that "stuff". What do you want, REASONS of RESULTS???</p>

<p><span style="font-size: 10pt; color: black; font-family: 'Verdana','sans-serif';">A few years ago I began working with a business coach, Melanie Benson-Strick of <a href="http://rs6.net/tn.jsp?t=zzith6cab.0.0.g8yyz8n6.0&amp;ts=S0407&amp;p=http%3A%2F%2Fwww.successconnections.com"><span style="color: blue;">www.successconnections.com</span></a>. She had us do an exercise that helped us identify what our top values. Freedom was definitely one of the things at the top of my list. Because of that I have spent a lot of time and energy building a business that supports my need for freedom. Brian Tracy defines success as, "the ability to live your life, the way you want to live it, doing what you enjoy most, surrounded by people you admire and respect." So essentially doing what you want, when you want, with people you really like to hang out with. Sounds like freedom to me! If you are like me and crave freedom, here are 10 things you can do in your own business. </span></p>
<ol type="1">
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Create blocks of time.</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';"> Think of your business as a book. Make a list of all the main "chapters" then lay out time in your calendar for those chapters so you know when to work on each piece of your business. Once you are done, it's time to play. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Let someone else manage your calendar</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">. Set up an online calendar so that someone on your team can set and manage your appointments. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Empower your team to make decisions without you. </span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Free yourself from questions by setting policies around things like product returns or customer service issues. When a customer calls in with a question your team will handle it without having to bring it to you. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Clone yourself</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">. Spend the time to document how you do things so you can scale your company. For example, instead of doing all the one- on-one client consulting myself, I have trained consultants and they handle it. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Write out a new client set-up process</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">. When the excitement of a new client is all around you it's easy to skip or miss steps that you intended to do, but just never got to. Create a series of steps that all new clients go through so you are not reinventing the wheel over and over again. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Schedule a recurring meeting with your assistant. </span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Meet on a regular basis to discuss projects, give assignments and check progress. When communication is strong between you and the people helping you, things happen faster. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Learn how to use the technology you already own. </span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Take a look at some the programs you use on a regular basis like Outlook, ACT!, Camtasia, etc. Explore and learn some of the intermediate to advanced features. You'll be shocked at how much time you can save when you stop fearing your software and start embracing it. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Actually use the systems you create</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">. This is my favorite. Don't write a system and stick it in the drawer. Share it with your team, tape it to your wall, assign it to someone. Implement, implement, implement. Did I say implement? </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Checklists are your friend.</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';"> When you are handling a task that is only done occasionally or you want to delegate it to someone else, jot down a list of all the steps. With a list of steps and actions to complete it's easy to make sure nothing is skipped. </span></li>
<li class="MsoNormal" style="margin: 0in 0in 10pt; line-height: normal; tab-stops: list .5in;"><strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">Plan out your projects</span></strong><span style="font-size: 10pt; font-family: 'Verdana','sans-serif';">. Be proactive by laying out all the steps of your project so you have a handle on everything. One of my clients, Christine did this. Instead of stressing out and handling everything for her big product launch last minute, she laid out all the systems and instead went on a week long family vacation. </span></li>
</ol>
